New Canvas Login via Microsoft

As you may have noticed, when you log into Canvas, you are now given a Microsoft prompt and asked if you “trust sonoma.edu.” This is because our amazing IT team has transitioned Canvas to our new EntraID authentication system. It is safe to click “Continue” in this case. Also, you should expect to see this prompt for more of our apps, as the IT team transitions all of our apps to the new service. If you have questions, we’re happy to try to answer them, or you can ask your campus IT partner!

Last Call for Gradescope: Grade Faster and Easier!

CTET has been piloting Gradescope this semester - a faster, easier way to grade handwritten work, from equations to bubble tests, fully integrated with Canvas.

Jackie Guilford (Biology) says, “I graded my Gradescope bubble sheet tests and the scores uploaded to the Canvas gradebook flawlessly. Waaayyy better than scantrons.”

We can only justify licensing it with strong faculty use and feedback this fall. So if this sounds like something you’d like, watch one of our recorded demos or stop by CTET to try it before December!

Please Check ALL of Your Panopto Videos!

In Summer 2025, CTET migrated all faculty videos from YuJa to Panopto. A few faculty have let us know that the audio and video tracks in some of their videos are out of sync. We’re trying to work with YuJa on this, but just in case, please check your migrated videos in Panopto and let us know any videos for which the audio and video tracks are out of sync by this Monday, October 6. If you have questions, please stop by our office or Zoom room for the quickest answer, or email us at [email protected].

Gradescope: Grade Faster and Easier

CTET is running a pilot of Gradescope this semester. Gradescope makes it faster and easier to grade handwritten assignments, including equations, short essays, Scantron-like exams, and is fully integrated into Canvas. And it really works! Jackie Guilford of Biology writes, “I graded my Gradescope bubble sheet tests and the scores uploaded to the Canvas gradebook flawlessly. Waaayyy better than scantrons. Recommended.”

We can only justify funding this tool if we get significant faculty usage and feedback during our Fall pilot. So if you'd like something that's "waaayyy better than scantrons," please watch one of our recorded demos or come by CTET and give it a try while we still have access to it!

What’s New with AI this Month?

The Google Gemini LTI brings AI straight into Canvas. You can now share NotebookLM Notebooks and Custom Gems (Google’s take on Custom GPTs) directly with students inside your course. In this demo, we’ll show how to add the tool, build a course-specific Custom Gem using your own Canvas materials, and explore NotebookLM use cases like study guides, project coaches, and policy explainers. We’ll wrap up with a quick look at Agentic AI and what it could mean for future Canvas Quizzes.

AI Office Hours

We’re hosting weekly AI Office Hours every Thursday, 2–3pm. Drop in to explore opportunities, ask questions, and share ideas about AI in Higher Ed. Whether you’re new or already experimenting, it’s an open space for conversation and practical guidance, come for five minutes or stay the full hour. AI consultations are also available anytime on a drop-in basis.

Canvas Announcements Outage

Over Labor Day weekend, Canvas’s messaging service experienced an outage, and many email alerts, including those associated with Canvas Announcements, were not sent. We discovered and reported the problem on Friday, 8/30, and were told on Wednesday, 9/3, that Canvas fixed the issue. We are still waiting for an explanation of the root cause or the full scope of the problem, and have reminded Canvas that the Announcements messaging service is a critical feature that must be functional. We will keep you informed as we learn more.

Teaching Today’s Students and Paid Development Opportunities

The last few years have been incredibly disruptive, and have had a lasting impact on our students and how they interact with us. However, what hasn't changed is their desire to learn. To support you with reaching today's students, the CSU has partnered with TILT Higher Ed to make its research-backed materials available to you. Join us at a CSU-wide workshop on Friday, September 19 called Small Changes, Big Impact. You’ll learn more about the power of transparency to reach the modern student, and how you can leverage it to create greater engagement. Register now with your CSU email!

As mentioned above, Profs. John Sullins and Emily Acosta are recruiting participants for the Defense Against the Dark Algorithms: Critical Thinking and AI Faculty Learning Community. This FLC will explore how artificial intelligence intersects with critical thinking pedagogy, and test practical strategies for integrating AI into teaching and learning. The program will span the Fall 25 and Spring 26 terms. Participants are eligible for a $1000 stipend. For more information and to apply, see the FLC flyer.

CTET is planning to support a small cohort of faculty over Fall 25 and Spring 26 who want to earn QLT certification for their online courses. Faculty participants will be eligible for up to $1000 total compensation. If you'd like to participate in this program or have questions about it, please email John Lynch at [email protected] by Monday, September 22.

Prof. Suzanne O’Keefe will lead a Fall cohort of faculty through the CO’s Equity-Minded Pedagogy program. This program helps all faculty utilize institutional data, human-centered design, and equity-mindedness to inform teaching practices to improve students’ achievements of learning outcomes and course completion. The schedule and requirements are fully outlined in the program FAQ. We have space for 10 faculty participants, who will be eligible for a $1000 stipend. If you would like to participate in this program, please complete this sign-up form no later than Thursday, September 18.

Do you have questions about AI? We’ve got answers! This Wednesday, we’ll discuss the recently announced Canvas LLM Assignment, demo ChatGPT’s new Study Mode, and answer any other questions you have about the current state of AI. Then, next Wednesday, we’re offering a focused session on Responsible Data Sharing with AI Tools to explore data privacy, security best practices, and guidelines for using the CSU AI safely. Learn what constitutes Level 1 data, why it must stay off AI platforms, and how to navigate protections in enterprise tools like OpenAI (CSU license) and Google Gemini/NotebookLM. Help us foster a culture of both innovation and safety!

Additionally, if you want to use AI tools for teaching and research, or just learn more about their strengths and weaknesses, we have scheduled training sessions with some of the tools that SSU has licensed for academic use. We’ll add more sessions based on demand, and as we learn more about the above-mentioned tools.

  • Google's NotebookLM lets users train an AI chatbot on a specific data set of their choice, and then ask it questions about that data, and even get customized audio presentations about it. Join us to discuss whether NotebookLM could help you (or your students!) with teaching and research.
  • Notebook LM; Thursday, September 11, 12-1pm
  • Custom GPTs let you train ChatGPT to follow a consistent series of steps for repetitive tasks. Come practice creating custom GPTs and get your questions answered about the opportunities and challenges that they create.

New Software Tools

We’ve licensed two new software tools for faculty to use this Fall. First, Panopto is our new streaming video platform, replacing YuJa. You should see it in your Canvas sites in the left-hand navigation menu. If you want to record instructional videos and reuse them in your courses semester after semester, Panopto is the tool for you. We have a three year license for Panopto, so you can expect it to be around for a while. If you have questions about it, drop by CTET at your convenience.

We’re also running a one semester pilot of Gradescope, a tool to speed up the grading of hand-written assignments, and possibly replace our Scantron machine if it breaks. We will make a decision about whether or not to license Gradescope based on faculty feedback and interest this semester. So if it sounds like something that would interest you, please attend one of our info sessions and try it out. We’re also happy to attend a department meeting and give you department-specific training; just ask!

Important Service Change

CTET Staffing Changes

As many of you know, Justin Lipp left his position as Director of CTET in May. Dr. John Lynch, formerly CTET’s Assistant Director, has been formally appointed as the new Director of CTET. John remains committed to the same vision that Justin championed: That CTET is a service for our faculty, driven by your needs.

CTET Drop-in Support

CTET remains committed to providing the best support we can to SSU faculty. To keep our help desk open 8-5, Monday through Friday, we are experimenting with having experienced, trusted student workers provide some of our drop-in support. Please introduce yourselves to the new faces at our desk if you don’t already know them! And if you have any feedback, positive or negative, please email our director, John Lynch, at [email protected].

Streaming Video Update

At the recommendation of ATISS, CTET has replaced our YuJa streaming video service with a new license for a tool named Panopto. We believe that all faculty video has been migrated from YuJa to Panopto, but we strongly encourage you to check:

  • Go to one of your Fall 25 Canvas courses and click on the Panopto link in the left-hand navigation menu.
  • Click on your My Folder in Panopto, and then on the folder named “csv migrations.” Your content should be there.

If any of your content is missing, please let us know at [email protected] ASAP! Our YuJa license expires on 8/31, so we still have a few weeks to investigate and restore any missing content before it disappears.

Also, Panopto is now in the process of updating the links in Canvas that currently point to YuJa videos to instead point to Panopto videos. Unfortunately, because of previous delays in the migration process, that will likely happen next week, the first week of classes. We’re very sorry about that. However, it should be transparent to faculty and students. We will keep you informed about that. If you have any questions, email us at [email protected] or drop by our Zoom room.

We’re offering numerous training sessions in Panopto, including today, August 14, at 12PM in the CTET Zoom room! Please see the list of Workshops at the bottom of this email or review the Workshops page on our website to find a time that works for you. And if nothing works, come by our Zoom room and we’ll help you.

How Do We Engage With AI?

AI continues to evolve, and CTET remains committed to helping you adapt to its presence in your classroom the way that you think is appropriate. If you believe that AI can create value for your students’ learning journey, we’re happy to explore ideas with you. If you believe that AI will stunt your students’ learning, we’re happy to help you implement pedagogy that is more resistant to it. Reach out to us at [email protected], or email Matthew Callahan at [email protected], to schedule a consultation.

We do want to draw attention to two very recent and significant changes in academic AI: The arrival of ChatGPT 5 last week and the recent announcement of AI integrations into Canvas. Both of these are likely to have very significant impacts on you and your students, and we’re still figuring out the implications of them (e.g., ChatGPT 5 was just released under our Edu license this Tuesday, and we still don’t have access to a live version of Canvas’ LLM Assignment).  Join us in-person or via Zoom to learn everything we know about this rapidly evolving situation and get your questions answered.

  • Custom GPTs let you train ChatGPT to follow a consistent series of steps for repetitive tasks. Come practice creating custom GPTs and get your questions answered about the opportunities and challenges that they create.

May 2025 Faculty Highlights

Dear Faculty,

As the semester winds down, we want to thank you for your continued dedication to teaching and student success. This month’s newsletter includes updates on summer workshops, new tech tools, and upcoming opportunities to support your teaching.  Wishing you a strong finish to the semester and a well-deserved summer break!  The CTET Team

Need support? Email us at [email protected] or drop into our Zoom room!

Justin, We'll Miss You!

Please join us in wishing CTET’s director, Justin Lipp, all the best as he embarks on an exciting new chapter in his career. Justin has been a steady, creative force behind so many of our initiatives, and his presence will be greatly missed. While we’re sad to see him go, we’re also incredibly proud and excited for what lies ahead for him.

Thank you, Justin, for everything. You’ve left big shoes to fill, and we wish you nothing but success and fulfillment in your journey ahead.  - The CTET Team

Ed Tech. Updates

This semester, a pilot group of 10 SSU faculty have tested and compared three streaming video alternatives: YuJa (our current solution), Panopto (an alternative solution), and Google Drive/Youtube (another alternative solution). This pilot group ranked both Panopto and Google significantly higher than YuJa, so CTET is currently exploring migrating our streaming video content from YuJa into one or the other over the summer.

We understand that most faculty aren’t on contract over the summer, and for faculty who currently use YuJa, we don’t want you to come back to a course website full of broken YuJa links. Therefore, if we migrate over the summer, maintenance of existing course links will be our highest priority. We will reach out directly to the heaviest faculty users of YuJa directly once we’ve made our decision. If you have further questions or concerns, please email John Lynch at [email protected] directly.

Canvas Course Names

You may have noticed that the names of your Summer 2025 Canvas course websites are different than you’re used to. Our new data loader names courses exactly as they appear in Peoplesoft. Please let us know if the new names create any obstacles for you, so that we can work with the CO to address any issues. Also, please give a big thank you to our colleagues in IT for helping move this project across the finish line!

Gradescope: A Better Grading Tool and Scantron Alternative

In Fall 2025, CTET will lead a campus-wide pilot of Gradescope. This app can potentially make grading essays and problem sets both quicker and more equitable. Additionally, it can take the place of Scantron for many needs. If you’d like to learn more before the end of the term, CTET is hosting a few demos this week. (Sorry for the end-of-the-semester demos; it’s been hard to fit everything in this term!) If these times don’t work out for you, Gradescope will be happy to give you a custom demo. Let us know and we’ll put you in touch!

How Do We Engage With AI?

SSU Faculty Learning Community Showcase

For the past two years, CTET has been facilitating SSU faculty working groups around the topic of AI in education. The program is designed to acquaint faculty with fundamental concepts in AI technology, including LLMs and other AI equipped tools, and to explore these in the context of pedagogy, ethics and information literacy. On Friday, May 9, our Spring faculty participants will showcase their work this semester. Join us for brunch and an inside look at the benefits and challenges of AI at SSU.

Put Zeroes in your Canvas Gradebook!

An accurate and up-to-date gradebook helps students succeed by helping them know exactly how well they’re doing in a course! The Canvas Gradebook only includes an assignment in a student’s course grade calculation if you made sure to give them a grade; so if a student didn’t turn in an assignment but you didn’t manually put in a “zero” grade, Canvas actually excuses the student from that assignment! Help students and make sure that your Canvas gradebook is accurate by putting in a zero grade for all unsubmitted work as early as possible! If you want guidance on how to do that, stop by CTET’s office or Zoom room!

March 2025 Faculty Highlights

Dear SSU Faculty,

We apologize in advance for this massive newsletter; there’s a lot going on in March, so much so that we’ll send out another newsletter on 3/13 with more updates! For now, please remember that we’re here for you. If you have questions about any of the below, email us at [email protected] or drop into our Zoom room!

ChatGPT EDU Rollout This Week

In January, the CSU announced a system-wide ChatGPT Edu license for faculty, staff, and students. (You can learn more about this initiative and find training resources at the CSU AI Commons.) SSU is planning to roll out the ChatGPT EDU license to all users this month: Faculty should receive an invitation to use the service by Monday, March 10th.

To support faculty in understanding/leveraging the tool (and other AI tools for which we have licenses), CTET has scheduled the following sessions. Additionally, you can drop by our office or Zoom room at any point to ask us AI related questions. Finally, both CTET and IT have dedicated resource web pages.

Spring 2025 Instructional Video Pilot

Based on the feedback that we received last Fall in our Instructional Video Needs Survey, CTET will run a pilot comparing three different instructional video solutions this Spring: YuJa (our existing service), Panopto (a new service), and a combination of Zoom + Youtube + Google Drive (what we're calling the "mostly free service"). Faculty who completed our Fall video needs survey have already been invited to be official testers of each option, but we will also host open demonstrations of each solution, and we encourage all interested faculty to participate in testing the options and providing us with feedback. The currently scheduled events are:

We hope to see you there!

Canvas Speedgrader for Graded Discussions Update/Fix

The Discussion SpeedGrader experience in Canvas is getting a fix/update on March 12. We wanted to give you a heads-up and share additional context about what to expect. Greater details are located here in a recent blog post that outlines these changes. Here is an overview of what you can expect:

  • Within Speedgrader, faculty can choose their preferred grading experience: Condensed or Fully Contextual.
  • A new "show replies in context" SpeedGrader setting and associated toggle are introduced. These are what will control the SpeedGrader experience for educators.
  • The condensed view will be shown by default.
  • Faculty can use the toggle or SpeedGrader default setting to adjust this experience.
  • Improved button accessibility for Screen Reader navigation.

We appreciate your patience and feedback on this. Knowing there’s a date on the horizon for the fix, those that have been affected may wish to hold off on grading discussions for a couple weeks until the fix has been applied.

Federal Policy Making and Higher Ed: The Latest News

The Trump administration’s impact on higher education is real and rapidly evolving. To keep our faculty better informed, we plan to host a panel led by Laura Alamillo, dean of Education, Counseling, and Ethnic Studies, on Tuesday, March 25. The panel is currently expected to include SSU’s own Kelly Estrada, Rhianna Casesa, and Tramaine Austin-Dillon, and potentially guests from the Sonoma County Office of Education. Please keep an eye on the event webpage for more details about speakers and content as we get closer to the event date.

Teaching First Generation College Students Summer Institute

This CSU-wide program, developed and facilitated by Drs. Rebecca Gutierrez Keeton and Maritza Lozano at CSU Fullerton, focuses on evidence-based strategies for teaching and interacting that draw on the strengths of first-generation college students (FGCS). The institute addresses emerging issues and concerns in teaching in digitally enhanced or fully online environments, including building student-instructor relationships and engaging students in different modalities. Those who complete all activities and assignments for both the summer and fall segments will be eligible to receive a $500 professional development stipend.

  • The program starts with a five-week online professional learning institute from June 3 to July 1. Then, it continues in Fall 2025, when participants reflect on their practice as they implement new strategies.
  • Current faculty of any rank or appointment type who have previously taught at least one course in the CSU, and plan to teach in fall 2025, may apply. If interest exceeds capacity, priority will be given to those positioned to become advocates for first-generation college students on their campuses.

To apply, complete this form by Friday, March 28. Applicants will be notified of acceptance on Friday, April 4. Contact Emily Magruder at [email protected] with questions.

February 2025 Faculty Highlights

Dear Faculty,

The beginning of the semester has been unprecedented.  We know everyone is experiencing tremendous pain and fear.  While we can’t solve that, we hope that the resources below can help.  Most importantly, you are not alone: If you need help or just want to talk, reach out.

What’s Coming Next for SSU and Higher Ed?

The past two weeks have brought tremendous change, fear, and uncertainty to us, both locally and nationally. In light of these changes, the following faculty workshops seem more important than ever. Please come to learn more about what our current and future students expect out of higher ed, so that we can better adapt; and how the new US presidential administration is transforming national support for higher ed in general, so that we can better prepare.

You are not alone in this—we are here to help. If you have questions or comments, please email Justin Lipp

Canvas Speedgrader for Graded Discussions Changes

Canvas turned on Discussion Checkpoints on January 18. While the feature itself works seamlessly with an improved points system, calendar integration, and grading tools, the update also changed SpeedGrader for graded discussions in ways that have been a concern. Previously, instructors could see all of a student’s discussion posts on a single screen. Now, posts must be navigated one at a time using "Next Reply" and "Previous Reply" buttons, significantly increasing grading time—especially in large classes.

Key Issues & Solutions:

  • SpeedGrader Changes Impacting All Discussions – Canvas is working on an update that will allow users to choose either version of SpeedGrader.
  • Accessibility Concerns – Canvas will re-test and improve the interface to ensure usability and compliance with accessibility standards.
  • Performance in Large Courses – Canvas is optimizing SpeedGrader to improve performance in high-enrollment courses.

Unfortunately, we don’t know when these solutions will arrive. In the meantime, you can share your feedback on the redesign with Canvas by completing this Canvas survey. Thank you, and we’re sorry!
